Vendor statements below come from official documentation checked on October 5, 2026. This is a documentation comparison, not hands-on testing. Where those sources do not describe a feature, “not covered” does not mean the vendor lacks it. Re-check current documentation before choosing.
Invoice reminder software ranges from a setting inside your invoicing app to a dedicated credit-control platform. The right choice depends on where you already invoice, how many invoices are open at once, and whether you want a message to leave without you reading it first.
The short version: if your invoicing app already has reminders, try those before adding anything. For a small number of invoices they may be all you need, provided they behave the way you want when a client disputes something or says they have paid.
Five types of invoice reminder software and manual alternatives
- Reminders inside your invoicing app. QuickBooks Online, Xero, FreshBooks, Wave and Zoho Invoice all document some form of reminder.
- A dedicated credit-control tool. Built for higher invoice volumes, with scheduling layered on top of accounting data.
- A follow-up workbench. It tracks what needs attention and drafts each message from your template. You read it and send it from your own mail app.
- A spreadsheet plus saved templates. Slower, but fully yours.
- A mix of the above. For example, an app for routine reminders and your own messages for exceptions.
What to compare in invoice reminder software
These questions matter more than feature lists.
- Who sends. The software or you? Ask what happens if a message is scheduled while you are in a dispute with the client.
- Mailbox and data permission. Some tools send from their own system or connect to your accounting data. A workbench that never sends needs no mailbox access. Check what each tool asks to connect to before signing up.
- Quotes. Do you chase unanswered quotes as well as unpaid invoices? The invoice-reminder documents we reviewed do not describe quote follow-up. That says nothing about the vendors' other features, so check their quote or estimate tools separately.
- Verification. When a client says "I paid," what happens to the reminders and the balance? Does the tool stop only after a payment is recorded or synced, or can you pause it yourself?
- Export and portability. Can you get your records out later? We did not check export for the vendors below, so ask.
- Pricing and plan limits. We list no prices. Check each vendor's pricing page and any plan requirement for reminders.
- Your time. Automation removes typing. A review step adds minutes per message but lets you catch context the software cannot see.
Invoicing apps with built-in reminders
QuickBooks Online
QuickBooks' official help article describes automatic reminders sent before or after the due date, editable messages, and manual reminders. It checks unpaid invoices that have been emailed to the customer. It does not cover bank matching, reply handling or quote tracking.
Xero
Xero's turn reminders on or off article describes controls at the organization, customer and invoice level. A Xero guide on getting paid faster says reminders can stop after a connected bank feed shows payment. The original "How invoice reminders work" page returned no readable text when we retrieved it, so we make no claim about reminder counts or other details from it.
FreshBooks
A FreshBooks support article, What are payment reminders and late fees, was found through search. It supports up to three automatic reminders and editing the message. Our direct fetch of that page timed out, so treat these details as needing a fresh look. We do not state when FreshBooks stops reminders.
Wave
Wave's scheduling article describes preset reminders before and after the due date, available when you accept online payments or have the Pro Plan. It says reminders stop once an invoice is marked fully paid. A manual option is described in Wave's send a reminder article.
Zoho Invoice
Zoho's reminders help page describes manual reminders for sent and overdue invoices, automated criteria tied to the due date or an expected payment date, and editable subject and content. It does not address reply pauses.
Dedicated credit-control tools
Chaser is one example. Its public product page describes accounting sync, email and SMS schedules, customizable templates, and automatic stopping once the accounting sync records a payment. That is not the same as stopping the moment a client says they paid. Such tools suit businesses chasing many invoices, and a solo freelancer with a few open invoices may find them more than needed. We list no prices.
A follow-up workbench
This is our product, so read with that in mind.
MoneyNudge shows which quotes and invoices need a follow-up today. It drafts each follow-up from your own template; you review it and send it from your own email. It never emails your clients on its own. It keeps a record of what you marked as sent, and when. It follows up on quotes as well as invoices. When you log that a client replied, said they have paid, or asked you to wait, the follow-ups pause. It tracks full and partial payments against each invoice. The product walkthrough runs about 65 seconds, uses fictional sample data, and shows actions in the app, not business results. No client email is sent in it.

Check the exception before choosing invoice reminder software
Use the same fictional scenario when you review each option: a client disputes one line, asks you to wait, then says they sent a partial payment. Ask which control pauses the reminder, whether that control is per invoice or broader, and which event changes the balance. “Stops when paid” is too broad unless you know whether payment means a user record, a bank-feed result or an accounting sync.
Keep documentation and product testing separate. The sources below describe vendor behavior, but this page does not establish how a particular account, plan or integration behaves with your data. Before relying on a schedule, review the setup with a test invoice and confirm what would be sent, by whom, and how to stop it. Ask about exports and permissions separately because those were not part of this documentation review.
If several people handle the invoices, agree who checks payment and who controls the next reminder. Keep a dated note of that decision beside the invoice. A colleague should not have to infer “safe to send” from a calendar date or a payment claim. This is an operational check for any option, including a spreadsheet, rather than a feature tested across the vendors.
A worked example with a verification step
This example is fictional. Designer Alex issues invoice INV-104 to client Jordan on March 2, 2026, for USD 1,200, Net 30 from March 2. The due date is April 1, 2026.
A manual workflow might plan checks on April 4 and April 8. Those dates are illustrative, not best dates. Suppose Jordan says on April 5 that USD 400 was sent. Until Alex confirms it arrived, the balance stays USD 1,200. Once Alex verifies the USD 400, USD 800 remains. Ask of any tool how it behaves at that moment: does it keep sending, what makes it stop, and who decides the balance?
Start with an invoice follow-up spreadsheet
A spreadsheet may be enough when you can reliably review a small set of records. Download the invoice follow-up spreadsheet for a manual starting point, with fictional examples and instructions. It has room for 20 invoice rows. Replace the sample values with your own checked details and keep a separate copy of the original file.
Write the client, reference, currency, invoice and due dates, last contact and next action. Record a payment claim separately from a verified payment. A claim does not subtract from the balance; only a confirmed payment in the same currency does. Keep currencies separate instead of adding unlike amounts into a combined total.
The worksheet needs manual updates. It does not import invoices, sync bank or inbox data, or send messages. Review the rows yourself and verify changes against your own records. A daily workbench can make the next-action queue easier to review, while invoice reminder software with automation makes a different trade-off about who sends. Choose according to the job you need rather than replacing a working spreadsheet by default.
Which invoice reminder software fits your workflow?
- You already invoice in an app with reminders. Start by checking its controls, wording and payment-stop behavior before adding another tool.
- You manage an accounting-based collection workload. Review a dedicated tool’s accounting-sync and scheduling documentation, then confirm the setup required for your own data.
- You want to read each message yourself. Compare a manual workbench with your current template-and-calendar process, including how you handle quotes and exceptions.
- You can keep a few records up to date reliably. The spreadsheet above and saved templates may be enough. Keep the approach that fits your actual workload.
Continue with invoice-stage email templates, overdue invoice emails.

Frequently asked questions
What is the best invoice reminder software for freelancers?
Start with the reminders in the invoicing tool you already use and check whether their schedule, wording and stop behavior fit your work. A dedicated credit-control platform may suit a larger collection workload. A manual workbench is another option when you want to review each message. There is no single best choice for every freelancer.
Can QuickBooks send automatic invoice reminders?
Yes. QuickBooks Online has a setting for automatic invoice reminders, configured from Account and settings under the Sales tab, where you choose how many days before or after the due date each reminder goes out and edit the wording. According to QuickBooks' own help article, reminders only go to invoices you have already emailed the customer and that have not yet been paid, and you can still send a reminder manually instead.
Does Xero send payment reminders automatically?
Xero documents invoice-reminder controls at organization, customer and invoice level. Its getting-paid guide also describes reminders stopping after a connected bank feed shows payment. The retrieved documentation does not establish every schedule or message option, so check current help pages for your setup. A customer's payment claim alone is different from a recorded payment.
Are automatic payment reminders rude?
Automation alone does not determine whether a reminder is appropriate. Check the amount, due date, recipient and wording, and decide how to pause messages when a client replies, disputes the invoice or says they paid. A routine reminder that ignores those facts can be awkward regardless of whether a person or software sent it.
Do I need software to send invoice reminders?
A calendar, a record of contact dates and saved templates can cover a small set of invoices if you check them reliably. Consider software when you need a clearer queue or want to coordinate several follow-ups. Compare the extra setup and review time with the task you are trying to solve rather than assuming an app is necessary.
